NYP Kitchen Design — Custom WooCommerce B2B Partner Portal

A B2B partner portal for a German kitchen-planning service: partner registration and approval, protected project briefs and floor-plan uploads, WooCommerce ordering with Stripe, Cal.com bookings, invoices with German VAT, and GDPR tooling.

Overview

NYP Kitchen Design provides professional kitchen planning to kitchen studios and furnishing partners in Germany. Instead of handling briefs over email, the business needed a portal where approved partners can order planning services, submit project material, book consultations, and track everything in one place.

I built the MVP on WordPress and WooCommerce, with a heavily customised partner experience on top of a standard commerce core.

The business need

The service is sold business to business, which changes almost every assumption of a standard online shop:

  • Only approved partners should be able to order, so registration needed a review step.
  • Orders come with confidential material — floor plans, images and project details — that must not be publicly accessible.
  • Services are sold as tiers (Basic, Professional and Premium planning), each paid online.
  • Some services involve a scheduled consultation, which had to connect to the order.
  • Invoices had to follow German VAT rules, and the business needed practical GDPR tooling.

My role

I implemented the partner portal, the WooCommerce ordering workflow, the Stripe setup, invoice and email logic, the Cal.com integration, and the final launch migration — and handled detailed QA feedback through to launch.

Technical architecture

  • Commerce core: WooCommerce products represent the planning services, so pricing, orders, invoices and taxes use proven commerce primitives.
  • Partner layer: custom registration, an approval workflow and role-based access control determine who can see and order what.
  • Project briefs: protected upload handling for floor plans and project files, tied to the partner and order.
  • Payments: Stripe integrated with the WooCommerce checkout, set up and verified in Stripe test mode during development.
  • Scheduling: Cal.com bookings, with webhooks keeping booking state synchronised with the portal.
  • Communication: custom notifications and email workflows at each stage of an order.

Key implementation decisions

Use WooCommerce for what it is good at, customise the rest. Orders, invoices and VAT are solved problems in WooCommerce; the partner model is not. Building the partner experience on top of the commerce core avoided re-inventing payments and tax handling.

Webhooks as the source of truth for bookings. Cal.com notifies the portal when bookings are created or changed, so the dashboard reflects the real calendar instead of a copy that can drift.

Privacy by design for uploads. Partner uploads are protected rather than public media, and GDPR export and erasure tools give the business practical tooling for responding to data requests.
